When you are not ready for a full time IT staff, but you still want an expert.

First, what is a file server? According to Wikipedia, “a file server is a computer attached to a network that has the primary purpose of providing a location for the shared storage of computer files(such as documents, sound files, photographs, movies, images, databases, etc.) that can be accessed by the workstations that are attached to the computer network.” (1) I think that is a pretty good explanation.

What does this mean for your business? How do you pass information around in your office, do you email it back and forth, do you pass USB thumb drives (also called flash drives) around? These are pretty inefficient and cumbersome ways to pass your data around. As well, your data has a bigger chance of being corrupted in the process.

If you are thinking that you have to spend the big bucks to setup a server, this is not so. You might be thinking that you have to get a data center (a big room with lots of computers running and air conditioning to keep them cool), and run an expensive operating system. Wow, the $$ can add up. Well, again, you do not have to do this. A inexpensive, but reliable desktop system can work, with a cost free, stable operating system. Unix is what runs much of the internet. It is very difficult to throw a rock at the internet without hitting a Unix server. Unix is free. I prefer FreeBSD.

So the cost is minimal.

Now how does this help your business? After you have implemented this technology, you are now keeping your data (and your clients data) on a system that is secure, and stable. You have an easy way to share your data with your co-workers. The data will be zooming around your office, and everyone will be happy. Well, they will be happy they can access what they need to do their job.

Doing What You Do Best

Technology has become very commonplace. With that, knowledge grows. The internet has become a virtual library. You can find answers to so many things. Some individuals will use the internet to try and solve their company’s IT support issues. They will browse for hours looking to find the answer to that nagging problem. When they think they have found the answer, they will go and try to solve the problem only to find that the solution was not the correct one. Meanwhile, their work duties have slipped and now they have not accomplished what really was important, doing their everyday work tasks.

This does not make business sense. Do not waste your time trying to fix what an expert can fix in a few short hours (or minutes) and what will take you away from doing your job, what you do best.

Hiring outsourced IT makes sense to a small company. You obviously do not have the resources to pay some guy a minimum of $40,000 a year, and upwards of $90-100k to sit a play solitaire (or the game of their choice) all day. So when you can have IT support just a short phone call away, do what you do best. You are probably great at what you do. The use of technology has exploded in the last twenty years. It is amazing that we can now carry a library of hundreds of books, our music library a personalized phone book and more in a small device that fits in our pocket or purse. And yet we still have the same problems of trying to remember to bring a gift home to our wives, or remembering that contact’s name. Technology has in many ways simplified our lives and yet it has complicated them as well.

As a promoter of technology, I am always cautious to recommend too much. I think to properly use technology there has to be a balance of need versus the want. Sure it would be cool to deploy iPhones to all of the employees, but does this make business sense. Many times it does not. Use common sense when deciding whether it is a practical decision.
